Paychex vs Insperity: how do you decide between the two PEOs?

Neither Paychex nor Insperity is better for everyone. The real question is which relationship fits the company you're building. First confirm both proposals cover the same thing. Then compare five areas: the relationship, the service model, the economics rebuilt on equal terms, the technology your team will use, and long-term fit.

Why are Paychex and Insperity hard to compare?

If Paychex and Insperity are your final two, you have probably seen both demos and still don't feel like you're comparing the same thing. Benefits are presented differently. Workers' comp is priced differently. The services sound similar but differ in who advises you. The technology looks close but not identical. And the pricing may be packaged in a way that makes a direct comparison almost impossible, especially with Insperity. So don't ask which company is better. Ask what you're missing.

Step 0: How do you confirm you're comparing equivalent proposals?

Both companies sell more than a PEO. On the Paychex side, make sure you're looking at its PEO service. On the Insperity side, that is HR360, which Insperity presents as its full-service PEO. The distinction matters because both can provide payroll, HR support or benefits administration without a PEO relationship. Then confirm both proposals include the same:

  1. Companies, if you have more than one entity
  2. Employees
  3. States
  4. Benefits-eligible population
  5. Payroll
  6. Major services

If they don't match, stop. You're not ready to compare prices. This happens more than you'd think: you send one provider a census in August and the other a fresh one after Labor Day, and if you've hired in between, the two proposals are built on different data.

What is the five-part framework for choosing between two PEOs?

What is the five-part framework for choosing between two PEOs?
AreaWhat to compare
1. The relationshipWhat the PEO is responsible for, and what stays with you as the company. See: What does co-employment mean?
2. The service modelWho will actually help you. Do they have a name and a phone number, or is it AI? How is support delivered?
3. The economicsNot just the administrative fee. Rebuild benefits, workers' comp and payroll taxes using the same employees, assumptions and wages so the numbers are normalized. See: How do you compare benefits between two PEO proposals? and Why are two PEO workers' comp quotes different?
4. The technology your team will useTest the workflows that matter to you, not the provider's favorite demo. If payroll is simple, either experience may be enough. Complicated timekeeping, multiple locations or entities, or detailed reporting like job costing make this matter much more.
5. Long-term fitWhether the relationship can support the company you're building, and what happens if your needs change.

Is it normal to prefer different PEOs in different categories?

Yes. No single category gives you the answer. You may prefer one provider's benefits and the other's technology, or one's service structure and the other's cost. Your job is to pick the combination that solves the problems that matter most to your company, without creating new ones you're not prepared to manage. The better PEO is the one best aligned with your workforce, your benefits strategy, your risk tolerance, your internal HR capability, and where the company is going.

How Thinq is paidDepending on the service, Thinq may receive carrier commissions, referral fees, partner compensation or direct client fees. None of those relationships require you to use a specific carrier, platform, PEO or payroll provider. We work with the providers you already use when they fit, and we recommend alternatives when something is a better match on cost, service, administration and the needs of your business.

Common questions

Is Paychex or Insperity better for a small business?

There's no universal answer. It depends on your workforce, benefits strategy, risk tolerance, internal HR capability and growth plans.

What is Insperity HR360?

The product Insperity presents as its full-service PEO. Make sure that's what your proposal is for.

Why can't I compare the two PEO quotes directly?

They're often built on different data and packaged differently. Confirm the same employees, states, payroll and services, then rebuild the costs on equal terms.

Can I like one PEO's benefits and the other's technology?

Yes, and it's common. Decide which combination solves your most important problems.
